- Communications — records of messages sent to us via our contact form, email, or telephone.

- Marketing preferences — if you have opted in to receive marketing communications from us.
We do not collect sensitive personal data (such as health information) unless you voluntarily provide it in connection with a dietary or accessibility requirement.
3. How We Use Your Information
We use your personal data for the following purposes:
- To process and manage your reservation or enquiry.
- To communicate with you about your booking, including confirmations, reminders, and amendments.
- To respond to messages sent through our contact form or by email.

- To improve our website and services using aggregated and anonymised analytics data.
- To comply with our legal obligations, including licensing and safety requirements.
4. Legal Basis for Processing
Under UK GDPR, we rely on the following legal bases for processing your personal data:
- Contract — processing is necessary to fulfil your reservation or booking.
- Legitimate interests — processing is in our legitimate interest to operate and improve our business, respond to enquiries, and keep our records up to date, where this does not override your rights.
- Consent — where you have explicitly opted in to receive marketing communications from us. You may withdraw your consent at any time.
- Legal obligation — where processing is required to comply with applicable law.
5. Third-Party Services
We use the following trusted third-party services that may process your personal data on our behalf:
- ResDiary — our online table booking system, operated by ResDiary Ltd. Reservation data you submit is processed by ResDiary in accordance with their own privacy policy.
- Brevo (formerly Sendinblue) — our transactional email service provider, used to deliver responses to contact form submissions. Your name and email address are transmitted to Brevo solely for this purpose.
- Google Analytics / Google Tag Manager — we use Google Tag Manager and Google Analytics to understand how visitors use our website. This data is anonymised and aggregated. Google may process data in the USA; appropriate safeguards are in place under Google's standard contractual clauses.
- Google reCAPTCHA — our contact form uses Google reCAPTCHA v3 to protect against automated spam submissions. reCAPTCHA collects hardware and software information and sends it to Google for analysis.
All third-party processors are contractually bound to handle your data securely and only for the purposes we specify. We do not sell your personal data to any third party.
6. Data Retention
We retain your personal data only for as long as necessary for the purposes for which it was collected:
- Booking and reservation records are retained for up to 3 years for business and accounting purposes.
- Contact form submissions are retained for up to 12 months.

- Website analytics data is retained in accordance with Google Analytics' default retention settings (26 months).
7. Your Rights
Under UK GDPR, you have the following rights regarding your personal data:
- Right of access — you may request a copy of the personal data we hold about you.
- Right to rectification — you may ask us to correct any inaccurate or incomplete data.
- Right to erasure — you may ask us to delete your personal data where there is no compelling reason for us to continue processing it.
- Right to restrict processing — you may ask us to suspend processing of your data in certain circumstances.

- Right to object — you may object to processing based on legitimate interests or for direct marketing purposes.
- Right to withdraw consent — where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.
To exercise any of these rights, please contact us at bookings@soholifestyle.co.uk. We will respond within one calendar month. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
